Frequently asked questions
What records should be kept in the Zentrix facility inspection system?
In Zentrix, the inspection staff and inspection content, building information and drawing information, site photos and diagnosis details are recorded together. These records become the basic material for filling in the matters required in the result report under Table 7 of the Enforcement Decree of Korea's Special Act on the Safety Control and Maintenance of Establishments, so it is best to keep each defect's location on the drawing, its photos and its measured values linked to one another. If the terms of reference require additional items, including them from the site recording stage reduces the need to return to the site when compiling the report. What is checked when compiling Zentrix site electronic records into the final report?
First, the site notes and provisional measured values are checked against the original photos and measurement conditions. Because the Special Act prohibits copying the contents of other reports and preparing a result report or its basic data falsely or poorly, it is also necessary to check that content imported from previous inspections does not remain as if it were this survey's results. Zentrix lets data uploaded from the site be checked and edited in the office right away, so the final report can be compiled after the responsible engineer completes the review. Should drawings and defect locations be recorded together in Zentrix inspection records?
Yes. Defects must be recorded together with their location on the drawing so that the same part can be found and the change compared at the next inspection. The Guidelines on the Implementation of Safety Control and Maintenance of Establishments also require the visual inspection results of detailed safety inspections and in-depth safety diagnoses to be recorded on drawings. Zentrix is software that manages drawings and defects together, letting you add photos and notes while viewing the drawing on a tablet, so mark floors, zones and member numbers to match the site, and if the drawing changes, note which drawing version the marks refer to. What should be checked when exporting Zentrix inspection data to Excel?
Check first that the facility and member numbers, defect locations and measurement units in the exported file match the original records and that no rows are missing. Zentrix can produce standardized data in HWP, Excel and CAD formats, but after downloading, applying filters or merging cells can easily mix in data from other facilities. Writing the creation date and version in the file name avoids confusion about which file is the latest.
What should be checked when preparing HWP report material in Zentrix?
For material produced in HWP format from Zentrix, first confirm that the photos, tables and defect numbers match the original site records. Then check that all the matters required in the result report under Table 7 of the Enforcement Decree of the Special Act are included and that corrections made after site verification are reflected in the final version. If table or photo numbers do not match the text, the credibility of the whole result report suffers, so it is best to check once more before printing. How are crack photos and site notes linked in Zentrix?
At the spot where a crack is photographed, note the location, width and length right away and pair them with the photo. Because Zentrix records photos, notes and data together on a tablet on site, assigning facility, floor, member and defect numbers by the same rule makes it easy to find the relevant photo when compiling the report in the office. Recording the defect's form, size, quantity and severity as well lets the information be transferred directly to the visual inspection results field of the inspection form. How is access to site records managed in Zentrix?
Viewing and editing rights are limited to the people taking part in the inspection, and access for outside collaborators is closed when the task ends. Zentrix synchronizes site inspection data with the office in real time so that several people can see the same material immediately. If photos or records contain personal information such as residents' names and contact details, safety measures to prevent leakage, such as establishing an internal management plan and keeping access logs, are required under Korea's Personal Information Protection Act. How should inspection photos and drawings be stored in Zentrix?
Original photos and measurement data are stored separately from the final report so that they are not lost during the statutory retention period. Under the Special Act, result reports must be kept for 10 years from the submission date and basic data for 5 years. Zentrix automatically saves inspection records, photos and drawings to the cloud and backs up inspection history going back 10 years. Including the facility name and inspection date in file names lets you find the documents you need immediately when an authority requests material or a follow-up inspection takes place. How are previous inspection records used in the next inspection in Zentrix?
Previous inspection records are used as the baseline for comparing changes at the same location. Importing the photos, measured values and defect numbers from the last inspection in Zentrix and placing them side by side shows immediately whether cracks have widened or defects have recurred in repaired areas. The facility maintenance guidelines also require detailed safety inspections to compare with previous results to identify the progression of defects and newly occurring defects. Imported past data must be marked with its creation date so that it is not mixed with this survey's results. Does printing the report from Zentrix complete the submission to the authority?
No. Printing the report from Zentrix and the statutory submission are separate procedures. Under the Special Act, the institution that completes a safety inspection or in-depth safety diagnosis submits the result report to the managing entity in writing or as an electronic document, and the managing entity resubmits it to the competent administrative authority within 30 days of completion. Submitted result reports are managed in MOLIT's integrated facility information management system, so the procedure is complete only once receipt has been confirmed.
